Overview

Examines and/or processes personnel actions using experience in applying personnel procedures and policies applicable to base, formal, non-appropriated fund (naf), and civilian training programs. Possess through knowledge of military and civilian personnel training program procedures and data systems, to include, but limited to: military personnel data systems(milpds) and defense civilian personnel data system (dcpds), mylearning and mytraining data systems.

Responsibilities

  • Ensures information and appropriate forms/documents and provided to customers on personnel action requests and provides referrals to other agencies.

  • Ensures personnel records and compared with sources documents, transaction registers, and management products; submits updates as needed.

  • Verifies personnel record information is updated as necessary, in Milpds, dcpds., mylearning, mytraining and personnel records.

  • Ensures personnel records are screened for proper training status.

  • Ensures course quotas and requested; training processes are monitored; and records of course attendance, withdraws, completions, and costs are maintained.

  • Evaluate training programs, recommend actions to correct deficiencies, and oversee evaluations and surveys.

  • Ensures training progress is monitored; problem areas are identified; causes are determined; corrective actions are recommended; and, when necessary, counsel is provided.

  • Ensures training documentation is maintained.

  • Ensures the job-site- training/distance learning programs are maintained.

  • Ensures training requirements are screened, validated, and forecasted

  • Assist with the on-base testing program as needed, including; proctoring afcda exams, computer-based and hard copy testing, and other distance learning exams

  • Coordinates and schedules programs (to include but not limited to; training, briefing, etc.)

  • Verifies preparation/presentation of training briefings for groups or units in support of training program requirements.

  • Oversees the development of flyers, pamphlets, and multimedia materials to promote information of training-related programs.

  • Maintains data and provides statistical reports on programs and operations.

  • Some receptionist or other clerical duties may be performed, including; preparing and processing correspondence., reports, forms, and personnel data system transactions; operating office equipment (e.g. fax, photocopy, or scanner machine); helping customers, and answering telephones.

  • Maintains files of correspondence, directives, instructions, and other publications.

  • Ensures compliance with policies, directives, and procedures.

  • Assists with non-conformance, corrective, and preventative actions

  • Ensures the necessary assistance and support for special functions, special interest events, and projects.

  • Provides guidance and direction for lower-level specialists

  • Assists in general housekeeping of common areas and work area/center.

  • Performs additional duties as assigned in accordance with contractual, functional, and mission requirements.

Qualifications

  • EDUCATION:

  • Bachelor’s degree or eight years of related experience required.

  • EXPERIENCE:

  • Military education and training or administrative personnel experience is required

  • SKILLS:

  • Computer skills required

  • Knowledge of Microsoft programs (word, PowerPoint, Access, Excel, and Outlook)

  • Ability to type 25 words per minute.

  • Detail-oriented, capable of multitasking

  • Knowledge of military education and training personnel systems and procedures

  • WORKING ENVIRONMENT:

  • Working conditions may include performing job requirements under certain time and resource constraints, in a very fluid environment. The work is primarily performed in an office, the employee faces everyday risks 0r discomforts requiring normal safety precautions required in an office setting. The work area is adequately lighted, heated, and ventilated.
